Our roadmap for the digitalization of bound materials

1Inventory

Before we start the digitization process, we inventory the collection. We discuss the wishes and requirements in detail. We involve our specialists in the process, all of whom provide their input based on their respective disciplines.

2Project plan

After making inventory, we draw up a project plan tailored to the project at hand. Each project is different and so is every project plan. This will be done in consultation with the client.

3Execution digitalization

After the approval of both parties, we will start digitizing. GMS supervises the digitization by doing either a random check or a 1:1 check. GMS has developed an integrated checking procedure to prevent the occurrence of digitization errors.

4Post-processing

The digitized files will be edited and incorporated in a report according to the wishes and requirements of the client. The source materials will be returned on the agreed-upon date together with the digitized files.

Preservation

We digitize all kinds of newspaper formats to ensure their preservation: newspaper clippings to large format newspapers. Once the newspapers are digitized, you can work with them without damaging the original physical newspapers. GMS can digitize newspapers of every shape and size. In addition, GMS can digitize your newspapers into the desired file format.

Accessibility

Historical newspapers are one of the most consulted archive sources on the internet. Historical newspapers can count on a lot of interest from a wide audience. Thanks to digitization you can reach a wide readership by exhibiting the newspapers digitally. The application of OCR (Optical Character Recognition) to these files additionally makes the newspapers searchable, which is even more interesting for your readership.

In-house developed machine park

Thanks to the in-house developed machine park is GMS capable to digitize the newspapers extremely efficiently. Bounded newspapers can be digitized with the Allmisc 6000. This machine has a so-called book see-saw which keeps the pages at the exact same distance from the camera system. This results in an optimal finished product. GMS can also digitize large format newspapers thanks to the in-house developed machines.

News of the Great War

A beautiful example of a successful digitization project is the project ‘News of the Great War’ carried out for the Flemish Archiving Institute (VIAA). More than 270,000 newspaper pages were digitized by GMS at a very high quality. You can find these at https://viaa.be/en.
